Using Audit Trail Inquiry to Monitor Transactions

Today’s blog takes a look at how Audit Trails can help you with data control and monitoring as well as security.  An Audit Trail is a chronological record of transactions that is automatically generated with a unique numeric ID.  In Dynamics AX 2009, an Audit Trail Inquiry shows you the details of the user who created an entry, the date of the entry, and the time of the entry.  Please read on to explore the functionality of Audit Trails.

The Audit Trail Form allows you to monitor the activity of the system and hold users accountable for the transactions they post.

You can access Audit Trail by clicking General Ledger – Inquiries – Audit Trail

Keep in mind that if a journal includes more than one voucher; you can only see the first line from the Audit Trail Form.  Therefore, you need to click the Voucher Transactions Button on the right side of the screen to see the all the transactions associated with the entry as seen below.

 

In addition to seeing all the transactions from the Voucher Transaction Form you also have the option to see where it came from and view the original document involved.  First, let’s take a look at the origin of the transaction by clicking the Origin Button on the right side of the screen.  As you can see from the screen below that the transaction can be traced back to the module where it came from.

 

Next, go back to the Voucher Transactions Form and now click the Original Document Button on the right side of the screen.  Now you can see the document name and have the option to print it.

 

It should now be evident that Audit Trail Inquiries are one of the many powerful tools in Dynamics AX 2009 and they can be used to swiftly monitor business activities in just a matter of a few mouse clicks.
