Dynamics GP 10 and 1099s (Part 3)

In continuation of our 4 part blog series “Dynamics GP 10 and 1099s” (Part 3) covers reviewing vendor’s 1099 information and how to make changes. 

To review Vendor information here are 2 options. 

  • (1) Review each vendor one by one by going to Cards >> Purchasing >> 1099 Details and scrolling through the Vendor’s 1099 amounts.  Remember changes to amounts can   be made by typing over or in the amount field in the corresponding 1099 box field.
  • (2) Create a Smartlist to query the all Vendor 1099 information.

Option (2) Creating a Smartlist to query Vendor 1099 information:

  • First, go to Smartlist. 
  • Click on the Purchasing folder
  • Click on the Vendors folder.  See below.
  • Click the “*” Smartlist this will query all vendors.

  • When the Smartlist for “*” populates Click the “Columns” icon on the toolbar.

  • Click “ADD” then the Columns window will open
  • Scroll through and Highlight the columns, either click OK then go back to the “ADD” to add additional columns or you can select multiple columns by holding down the “Ctrl” key on the keyboard and select multiple columns at once.  Then click OK.

  • The additional columns added should be similar to below.  Click OK.

  • From this Smartlist you can click the “Excel” icon to export the Vendor’s information to Excel and review.  From Smartlist you can double click on a specific vendor and drill back to the Vendor card and click the options button to update or change information.

  • If you decide to export to Excel I found it easiest to sort the Vendors by “1099 Type” in Excel for review.  If you have just a few vendors to update it will be quicker to click the Vendor from Smartlist and drill back to the vendor card, click the options button and manually change the 1099 Type and Box.  Also, using the “Update Vendor 1099” window to update certain information is handy.  Another option would be to build a Macro to update Vendor information.
  • If you added the same columns from the above example and exported to Excel your spreadsheet should similiar to below.

  • Also, note in the “Ranges” drop down includes the “User Defined Field 1” that we changed to “W-9 Received” in (Part 2) of the “Dynamics GP and 1099s “series.

8 Update 1099 Info

  • In the below example selected is a change from Tax Type Miscellaneous box 7 to Tax Type Dividend box 1a.
  • Range criteria “W-9 Received” and “From” and “To” of “Yes.” 
  • Click “Insert” to add the range. 
  • Before you “Process” click on the “Printer” icon on the bottom left of the window to preview report.

10 1099 Report

In (Part 4) of “Dynamics GP 10 and 1099s” we will look at IRS rulings for processing 1099s and other 3rd party applications used to process 1099s.

    Be careful with the Smartlist as it still uses the old Amounts Since Last Closed values. So, if you do not close Payables calendar year precisely after entering all 1099 year vouchers and before entering new year’s vouchers, those amounts won’t show properly.
